There was a senior backend guy one of our clients had been chasing for about six weeks. He came in through our own site on a Tuesday and I got to his CV the following Monday. He'd already accepted something else by then, which I only found out when I emailed him.

I started keeping track after that and it turned out I was spending something like eleven hours a week just opening CVs and forwarding them on to whoever owned that desk.

Dan built the thing that does it now and I couldn't tell you how it works. There was a stretch at the start where it kept confusing two of our verticals because we'd named them badly on our end, ops in one system and operations in another. Dana was the one who noticed people were landing in the wrong pile.

We're usually back to candidates the same day now instead of two days later.

Our print supplier rang my mobile on a Sunday because we'd paid him late three months running and he'd started to wonder what was going on with us. His invoice was sitting in Radu's inbox and Radu had been on leave since the 4th.

That went on in one form or another for about four years. Nothing catastrophic ever came of it, it was just a slow embarrassing drip.

Invoices get sorted as they arrive now and whoever has to approve one gets a Slack message with a button on it. Most clear the same day. Two of our suppliers still send me a photograph of a paper invoice and we handle those the way we always did.

We stopped paying for Bill.com at ninety something a month, which my accountant noticed on the statement before I did.

RevOps Lead, RevSync

Somebody emailed me directly to ask what he'd done wrong. He'd filled in our form and got an automatic decline back and he wanted to know whether he'd said something. He was a good lead. Our scoring had come out far too tight in the first version and it was rejecting people it shouldn't have. I went back and apologised to him.

The build itself was straightforward. The two weeks after go-live were the real work, mostly because our ICP rules turned out to live across three Notion pages that contradicted each other. We found that out in a meeting with the scoring already running in front of the revenue team.

The reason we did any of this is that our AE was spending about half his calendar demoing people who were never going to buy. First touch is around four hours now where it used to take most of a day.

Maya has been with me since there were two of us and when I told her what we were doing she said I was about to pay someone to generate worse versions of her own outlines. She was right for the first month or so. The output was genuinely poor and I nearly killed it.

Something changed around week five, whether that was them tuning it or us getting better at asking it for things. She uses it every day now and complains that it's slow, which it is.

What it does is the research part. It goes through Reddit, HN and Perplexity on whatever we point it at and comes back with an outline and links so whoever's writing can check the source actually says what it claims. That used to take us about four hours per brief and it takes about one now.

We're putting out roughly three times the briefs with the same four people.
